Before a website or AI assistant project, gather: a list of services and the areas you serve, the questions customers ask most (with your answers), any policies you want stated, real photos, logos and brand files, genuine reviews you have permission to use, access to your domain and current website, a decision-maker for approvals, and where you want leads delivered.

The biggest delays in website and AI projects are rarely technical. They’re waiting on content, access, and decisions. Gathering these before you start makes everything faster and the result more accurate.

About your business

  • Your services, in priority order: which ones you most want more of.
  • The areas you serve, and any you don’t.
  • Who your best customers are and why they choose you.
  • What makes you different, in facts rather than adjectives (for example, “we bring all supplies” or “one project manager from start to finish”).

Questions and answers

Write down the ten questions customers ask most often, and how you answer them. This is gold for both the website and any AI assistant. It becomes FAQ content and the assistant’s approved knowledge. Flag anything you’re not comfortable putting in writing yet, like prices.

Policies and boundaries

  • Cancellation, rescheduling, deposit, and payment policies you’re happy to publish.
  • Warranties or guarantees, only if you truly offer them, in wording you can stand behind.
  • For professional firms: anything your regulator or professional body restricts in advertising, and what intake must never collect.

Proof and visuals

  • Real photos of your team, vehicles, workspace, and work.
  • Genuine reviews and testimonials you have permission to use.
  • Licenses, insurance, and certifications, with accurate details.
  • Your logo and brand files, if you have them.

Access

  • Who controls your domain name, and login access (or someone who has it).
  • Access to your current website, hosting, and any forms.
  • Google Business Profile, Search Console, and analytics access, if they exist.
  • The CRM, inbox, or scheduling tool where leads should go.

Decisions

  • Who approves content, design, and assistant answers, and how quickly they can respond.
  • What success looks like: more quote requests, fewer missed inquiries, better-fit leads.
  • Any deadline that genuinely matters, such as a seasonal rush or a launch.
